How MSMEBOT calculates a fair KPI score for every task

"Performance review season" usually means someone scrolling through a spreadsheet trying to remember why a task slipped three weeks ago. In MSMEBOT TASK APP, every completed task gets a KPI score the moment it's marked done, with no end-of-month reconstruction required.

The formula, in plain terms

Every task starts at a Base Score, which defaults to 10 and is fully configurable per organization from Settings → KPI Settings. From there, two things can bring it down:

  • Revision penalty: each time the assignee requests a revision (a deadline or detail change), a configurable number of points is deducted.
  • Late penalty: if the task is completed after its due date, one point is deducted per day late.

There's also a hard stop: if the number of revisions reaches a configurable maximum-revisions threshold (3, by default), the score is forced to zero regardless of anything else. The minimum score is always zero. It never goes negative.

What this looks like in practice

  • Completed on time, zero revisions → 10 / 10
  • Completed on time, one revision (1-point penalty) → 9 / 10
  • Completed two days late, zero revisions → 8 / 10
  • Hit the max-revisions threshold → 0 / 10, forced

Why this matters for managers

Because the score is calculated the same way for every task and every person, the KPI Report's leaderboard is directly comparable across a team, ranked by average KPI, with On-Time and Late counts alongside it. Click any person on the leaderboard and it expands into every task that contributed to their score, each with a color-coded score chip and an On-time / Late badge, so a low score is never a mystery.

It's tunable, not fixed

Every organization runs differently: some care more about deadlines, others more about revision cycles. That's why the base score, revision penalty, and max-revisions threshold are all editable, with a live preview showing example scores for common scenarios before you save. Changes only apply to tasks completed after the change: already-completed tasks keep their original score, so history never silently rewrites itself.
